Aetna Dental Claims Billing & Follow-Up
Aetna dental claims billing includes Aetna's dental PPO and DMO plans and, in some cases, plans that Aetna's network serves on behalf of other administrators. Our remote team sorts out which is which, then handles verification, claims, posting and follow-up inside your systems.
Aetna dental plans and programs
Aetna offers dental PPO plans, dental HMO plans (called DMO), and indemnity coverage through employers, along with dental benefits in some Medicare Advantage plans. Aetna also runs network programs that can confuse a front desk if they are not recognized:
- Aetna Dental Administrators. A network program for patients enrolled through certain third-party administrators. ID cards carry the Aetna Dental Administrators name, PPO dentists are included in that network, and Aetna describes treatment as paid according to your contracted PPO fee schedule. Claims and eligibility follow the instructions on the patient’s ID card.
- Aetna Dental Access. A discount program rather than insurance. Aetna states that offices have no claims to submit under it; the patient pays the discounted fee directly.
Getting this right at check-in avoids claims sent to the wrong place and patient balances calculated on the wrong basis.
Provider portal
Aetna directs health care professionals to the Availity portal for many tasks, such as eligibility and benefits checks, claim submission and claim status. Aetna also maintains dental-specific resources for dentists. Some programs, such as Aetna Dental Administrators, send offices to the phone number and claims address on the ID card instead, so we check which route applies to the patient’s plan.
Eligibility and benefits checks
Our Insurance Verification & Eligibility work for Aetna patients confirms:
- Plan type (PPO, DMO, indemnity, Medicare Advantage dental or a third-party administered plan) and network status.
- For DMO patients, whether your office is the selected primary dental office and which services need a specialist referral.
- Deductible, annual maximum and remaining benefits.
- Frequency limits, waiting periods and alternate benefit rules.
- Coordination of benefits with other dental coverage.
Claims and attachments
Aetna dental claims are generally sent electronically through your clearinghouse or the provider portal. We attach radiographs, perio charts and narratives for procedures that are likely to be reviewed, such as crowns, buildups, scaling and root planing, and implants, as part of Dental Claims Management. For plans administered by a third party, we follow the submission instructions on the ID card.
Pre-treatment estimates
For larger PPO and indemnity treatment plans, we submit pre-treatment estimates so the patient has an expected share before deciding. We re-check eligibility and remaining benefits before treatment if time has passed, because the estimate is based on benefits at the time it was issued.
Posting Aetna payments
PPO and indemnity payments are posted line by line from the EOB or ERA, with write-offs matched to your contracted fee schedule. DMO activity is posted according to your agreement and the patient’s copayment schedule. Our Payment Posting work flags any line that does not match the expected allowance.
Common reasons Aetna dental claims are pended or denied
- Supporting documentation missing for procedures that need clinical review.
- Frequency limits met or waiting periods not satisfied.
- DMO patient not assigned to your office, or a specialist referral missing.
- Claim sent to the wrong address or administrator for the plan.
- Coordination of benefits information outdated.
Reconsiderations and appeals
When a claim is denied or underpaid, we review whether a corrected claim or additional records will fix it. If not, we follow the dispute and appeal process described in the EOB and Aetna’s provider materials, or the administrator’s process for third-party plans, and track it through Denial Management & Appeals.
Credentialing with Aetna
Aetna invites dentists to apply to its dental network, and participation in the PPO network can extend to related programs. Our Dental Credentialing & Provider Enrollment service prepares applications, keeps CAQH profiles current, tracks re-credentialing and updates provider and location records, along with EFT and ERA enrollment.
Follow-up on open claims
Unpaid Aetna claims are worked by age in Accounts Receivable (A/R) Management, with every portal check and call noted in your practice management system. Dental RCM Reporting & Revenue Analysis shows Aetna aging and denial trends alongside your other carriers.
